Position Title: Program Manager
FLSA Status: Full-time (40 hours/week), Exempt
Reportable to: Executive Director
Travel: up to 15% (20-25 business days, 2-4 trips a year)

Purpose of the Position
The Program Manager is a member of the NWRA staff team, reporting directly to the Executive Director. The person in this position is expected to perform established duties and essential functions with minimal supervision. The primary role is to manage the online and in-person learning opportunities throughout the entire year, including our online course offerings. In addition, this person is responsible for the planning and execution of the annual Symposium and all other NWRA programs, with additional job duties in fundraising and member relations/outreach.

Travel is required for at least three trips throughout the year, including working an eight-day period at our symposium and two additional trips (conference tabling, midyear meeting, etc.). NWRA covers all travel-related expenses, including hotel, flight, and meals.

Duties and Responsibilities
Symposium Management – 60%
Manage all aspects of annual Symposium
• Manage site selection process, including submitting RFPs, conducting in-person site visits, negotiating contracts, and recommending the final site selection to the board
• Manage all Symposium events and logistics, including field trips, meals, room blocks, logistics, icebreaker, vendor and personnel management, etc.
• Create project plans and document processes for Symposium activities, tasks, and communications
• Track tasks and progress for Symposium volunteer committees. Schedule regular meetings, follow up with committee leads on any needs/delays/updates, and ensure tasks remain on schedule and within budget
• Assist in the creation of content for website and marketing materials in collaboration with other NWRA staff. Remain consistent with NWRA’s overall brand messaging and appearance.
• Set up, test, and monitor Symposium registration in an online system
• Secure vendors for external Symposium program needs, such as a Symposium app, printing, transportation, etc.
• Work with NWRA’s host committee, program committee, and raffle & auction committee to organize annual Symposia program and activities
• Be present at annual Symposium to support overall in-person operations, including registration, banquet, field trips, etc.
• Prepare and present a post-Symposium review/debrief to the board of directors
Program Management 15%
• Set up, test, and monitor program registrations in the online systems.
• Coordinate live and in-person course offerings. Secure and communicate with instructors, ensure travel is booked, create virtual meeting links, send calendar invites, and ensure supplies are shipped as needed.
• Ensure modules in the online Learning Management System (LMS) are functioning properly. Troubleshoot as needed.
Fundraising and Development – 10%
• Create sponsorship packages and tracking processes for Symposium sponsorships. Serve as the first point of staff contact for incoming sponsors to negotiate sponsorship packages and ensure deliverables are met.
• Assist with the solicitation of sponsorships for the annual Symposia to meet the projected annual revenue goal for sponsored support each year. Create a list of potential sponsors and coordinate with the board to create intro and pitch messaging.
Outreach and Member Relationships – 5%
• Assist with the content and development of program-related member communications and social media posts
• Monitor program-related website pages and provide content/updates as needed to the communications coordinator
Administrative – 10%
• Develop, monitor, and keep within the annual department budget
• Support NWRA board and committee members by providing timely communication and reporting related to NWRA programs
• Coordinate Symposium-related scholarships with the Scholarship subcommittee
• Prepare financial forms and reports as related to program activities
• Assist accounting with reconciliation of program expenses and income
• Coordinate logistics for the mid-year board meeting
Desired Experience and Qualifications
• 2-3 years of experience in event management
• Experience in project and budget management
• Experience in program coordination, development, and evaluation
• Ability to compile data to make informed and fiscally responsible decisions
• Commitment to accuracy and documentation of processes, decisions, and finances in an organized manner
• Strong organizational and follow-up skills
• Professional written and oral communication skills
• Ability, initiative, and motivation to work productively in a home office and communicate clearly and often with remote team members through email, chat, phone, and video calls
• Ability to learn and utilize a variety of software systems
• Ability to work independently as well as a member of a team
• High standards of ethical behavior
• Interest in and willingness to learn about the wildlife rehabilitation profession
• Experience in supervision of volunteers is a plus

Remote-First Work Environment
This is a fully remote-working position with required in-person travel 3-4 times per year. The successful applicant will have the ability, motivation, and initiative to work from home for 40 hours/week.
